Shopify Integrations: Decide Which System Owns Your Data

Before connecting Shopify to accounting, fulfilment, CRM or inventory software, decide which system owns each type of information. Clear data ownership prevents conflicting updates and makes errors easier to resolve. An integration brief should describe the business process as well as the connection.

Map the information that must move

List products, prices, stock, customers, orders, refunds and fulfilment updates as separate data flows. Specify the direction of each flow and when it needs to happen. A warehouse may own available stock while Shopify receives orders and a separate system owns accounting records. Document the actual arrangement rather than assuming all systems should update everything.

Agree identifiers and matching rules

Define how a product, variant or customer is recognised across systems. Check SKUs and other identifiers for duplicates or gaps before connecting the platforms. Decide how changed records and new products will be handled. An apparently successful connection can still produce incorrect records if the matching rules are unclear.

Design for failure as well as success

Specify what happens when an update is rejected, delayed or sent twice. Identify who receives alerts and how they can safely retry an operation. Decide how conflicts are resolved when staff edit related information in different places. The business should be able to see unresolved issues without discovering them through a customer complaint.

Test the exceptions that affect money and stock

Run scenarios for a normal order, partial fulfilment, cancellation, refund and stock adjustment. Reconcile the records at both ends. Confirm the responsibility for ongoing monitoring and changes when either platform is updated. For Irish retailers, the integration should reduce repeated work while keeping enough visibility to investigate discrepancies.

Frequently asked questions

Can Shopify connect to any business system?

Feasibility depends on the other system's interfaces, access and requirements. Some connections suit existing apps, while others need custom work or a revised process.

Does automation mean nobody needs to check the process?

No. Automation should include monitoring, exception handling and a named owner for problems.
